PROBLEM STATEMENT :

The Inter IIT Sports Meet, an Olympics-like event for thousands of participants, needed a reliable, modern digital platform to manage the event. The goal was to replace fragmented communication with a centralized hub for real-time scores, schedules, and essential information.

OBJECTIVES / GOALS:

The primary goal is to create a seamless digital experience for 3500+ attendees, umpires, and organizers. This includes providing accurate, real-time data and streamlining the event's communication.

TARGET AUDIENCE:

The primary users are the 3500+ participants, students and coaches from various IITs, event organizers/umpires, and the Inter IIT organizing committee.

PROCESS I FOLLOWED :

I followed a clear process that began with a unified Research and Define phase to understand the needs of all 3500+ users. I then split the work: I took the Website through the full cycle, from low-fidelity wireframes to final design and testing.

I am currently applying the same detailed Ideation and Prototyping steps to build the App for Participants, with Usability Testing being the next major step.

PRIMARY RESEARCH:

Past Event Analysis & Contextual Inquiry

I started by analyzing the official websites and apps from previous Inter IIT Sports Meets at IIT Kanpur and IIT Indore (2024). This initial research was crucial for understanding the core structure and user expectations.

To gather deeper, human-centered insights, I conducted a Contextual Inquiry (informal interviews) with our college's athletes who participated last year.

Key Questions Asked:

These questions focus on pain points and specific needs, which is what recruiters want to see:

  • Pain Points & Expectations: What were the frustrating sections of using the event's app or website last year?

  • Core Feature Usage: Beyond schedules and scores, what one feature would make the biggest difference to an athlete during the 10-day event?

  • Information Reliability: Would you like to have real time reliability in app, and what happens when the information is incorrect or delayed?

  • What was the major reason for you to check the App regularly?

SECONDARY RESEARCH: MARKET ANALYSIS

I conducted a market analysis by studying the official websites of major global sports events, including The Olympic Games and Wimbledon. This helped me understand the best practices for handling a massive amount of data and traffic.

  • Information Hierarchy: I analyzed how these sites structure complex navigation, categorizing large amounts of information like sports, venues, teams, and news into clear, simple menus.

  • Real-Time Data Presentation: The analysis focused on how world-class platforms present crucial real-time data (like live scores and schedules) accurately and without clutter.

  • Visual Trust: I studied the visual design to understand how world-class sports brands use typography, color, and layout to build trust and excitement.

AFFINITY MAPPING :

I used Affinity Mapping to organize the large volume of data and requirements for the 10-day Inter IIT Sports Meet. The goal was to group content based on user needs (athletes vs. officials) and function, which directly informed the platform’s overall Information Architecture.

I clustered all event data (schedules, scores, news, venue info, and umpire input tasks) into five core navigational categories:

USER PERSONAS

I created two main personas to keep the design human-centered. This helped me cover the two most important user groups: the athlete (focused on consuming information) and the coach (focused on data and event management). Designing for these two different needs made sure the platform could handle all the critical parts of the event.

HOW MIGHT WE (HMW) QUESTIONS

  • How might we make the schedule simple and easy to use across both website and app?

  • How might we ensure a smooth and quick registration process for first-time participants?

  • How might we make essential information like venues, campus maps, and emergency contacts easily accessible on the app?

USER STORIES

To build empathy, I looked at experiences of real participants from past Inter IIT events and framed their needs as user stories:

INFORMATION ARCHITECTURE - NAVIGATION

The navigation system was designed separately for the website and app, keeping in mind their different use contexts.

  • On the website, a top navigation bar highlights the key pages.

  • On the app, a bottom navigation bar was used for quick access to the most frequently used sections (Home, Matches, Schedule, Teams, Gallery).

SITE MAPS

To make sure users can easily find information and move through the platform, I created separate site maps for the website and the mobile app.

  • The website site map focuses on broad access to event details, registrations, results, and galleries.

  • The app site map is designed for quick, on-the-go access to live scores, schedules, campus maps, and updates.

Task Flows

To validate the navigation system, I mapped out a task flow for a common user scenario:

BRAINSTORMING FOR WEBSITE

I started with quick designs to explore different layouts and ways to highlight events, schedules, and live scores.
From these, I created low-fidelity wireframes to define structure, navigation, and content hierarchy before moving into visual design.

BRAND GUIDELINES AND DESIGN SYSTEM

The colors and typography were provided as part of the event branding. Building on that, I developed a design system to ensure consistency across the website and app.

FINAL DESIGNS -WEBSITE

After refining the wireframes and applying the design system, I created the final high-fidelity screens for both the website and the mobile app. The goal was to make the experience:

  • Clear → simple navigation and hierarchy.

  • Engaging → strong visuals and event identity.

  • Consistent → same brand language across web and mobile.

APP FOR PARTICIPANTS

The mobile app was designed to give participants and visitors quick, on-the-go access to the most important event information. The focus was on speed, clarity, and ease of use.

Key highlights include:

  • Home Screen → real-time updates, live scores, and quick links.

  • Schedule → filter by sport and day to instantly see match details.

  • Teams & Players → detailed rosters and profiles for each IIT contingent.

  • Campus Map & Emergency Info → one-tap access to venues and contacts.

  • Gallery & Media → event photos and videos organized by sport.

Due to confidentiality (NDA), I cannot display all app screens, but the designs follow the same visual system and interaction patterns established for the website.

DEVELOPMENT & HANDOFF

The designs are now being implemented by the development team and are currently live in progress. You can explore the work-in-progress website here:

Close collaboration with the developers has ensured that the design system, interactions, and responsive layouts are being translated smoothly into code.

LEARNINGS

This project gave me the opportunity to design for a large-scale, real-world event with multiple stakeholders and a diverse audience. Key takeaways include:

  • The importance of building scalable design systems that work across web and mobile.

  • Designing with clarity and accessibility in mind for participants, organizers, and visitors.

  • The value of collaboration between design and development to bring complex ideas to life.
